APPLICATION
1. A signed application for exhibition, accepted by the Novi Sad Fair (hereinafter: the Fair), together with the general terms and conditions, is considered a contract closed between the applicant (hereinafter: the exhibitor) and the Fair.
2. The Fair retains the right to accept or reject the application.
Once submitted, the application is irrevocable and binding, unless the Exhibitor submits a cancellation in writing 30 days before the beginning of the event.
In case of a later cancellation, the exhibitor is obliged to pay the total amount, as if participated in the fair event. The Fair retains the right to rent the exhibition area in question to another exhibitor or design the area not used by the exhibitor according to the framework of the exhibition, on the exhibitor's expenses.
The Fair retains the right to:
a) designate location and area to the exhibitor
b) alter previously designated location
c) increase or decrease the exhibition area, depending on the capacity of the location, by up to 20% of the registered area.
The exhibitor cannot transfer the right to use the exhibition area to a third party without consent of the Fair.
The Fair informs the exhibitor on the location of the designated exhibition area and provides a floor plan.
All complaints on the exhibition area must be made exclusively during the fair event.
CATALOGUE
3. All exhibitors, regardless of the application deadline, are obliged to pay the compulsory Catalogue listing.
- the fee for the obligatory registration of exhibitors, the applicant, is 110 EUR (for indoor area over 30 sqm), 85 EUR (for indoor area from to 30 sqm).
- The fee covers:
a) Catalogue listing (comprehensive data on the exhibitor and products, according to the commodity groups)
b) one copy of the Catalogue
c) a link to the company's web-site from the official web-site of the Novi Sad Fair and a field with general information about the company
d) entry in the Fair information newsletter.
Additional Catalogue listing costs 30 EUR for each:
a) representative office
b) member
c) name of the company, including the country of origin of the exhibit.
TICKETS AND PASSES
4. a) Free tickets to the fair event is granted to the exhibitor as follows:
- for indoor exhibition area of up to 25 m2 - 3 tickets, for each additional 25 m2 - 2 tickets
- three tickets for up to 100 sqm of outdoor or covered exhibition area, five tickets for 101 sqm - 300 sqm and one ticket for each additional 100 sqm
- Exhibitor's ticket contains the name of the company, name and surname of the person, a photograph and it is not transferable (3 x 4 cm photographs in .jpg format should be sent to passes@novisadexpo.com)
- organiser of collective exhibition is entitled to three exhibitor's tickets and for each company participating in the collective exhibition the number of tickets as listed above.
b) Additional Exhibitors' tickets
- in case there is a need for extra hands at the stand, exhibitors' tickets can be additionally bought for all days of the fair
- the Exhibitors' ticket states the company, name and surname, is made with a photograph and is not transferable (the photo of 3x4 cm in a jpg format and the data should be sent to: passes@novisadexpo.com)
- the Exhibitors' ticket can be made on site.
c) Permanent passes for guests of exhibitors
- Permanent entrance passes for guests, which enable multiple entries to the Fair, can be bought
- Permanent passes can be bought at the Fair box-offices and exhibitors can buy them at the Exhibitors' Service
- the Permanent pass states the name and surname and is not transferable.
All tickets are issued at the Service Department seven days prior to the event. During the event, tickets are issued on the spot, with a receipt.
OTHER INFORMATION
5. All telephone conversations are charged according to the calculation by the Post Office, with additional 15% for handling charges.
6. The exhibitor can use the area at the Fair to demonstrate equipment provided that it does not disturb other exhibitors and visitors.
During the demonstration, all safety measures must be in place, and the exhibitor is solely responsible for each possible incident.
The volume of loudspeakers at the exhibitor's stand must not exceed a tolerable level for the stand itself.
7. Goods cannot be brought into the Fair earlier than 5 days before the start of the fair event, or later than 48 hours before the start of the fair event.
Should the exhibitor choose not to use their own means of transportation to bring the goods, the transfer of goods from the entrance to the Fair to the exhibition area can only be done through the forwarding agents licensed by the Fair.
The exhibited goods must not be taken out or exchanged before the end of the fair event.
Packing and removal can start one day after the closing of the fair event.
The exhibitor can take the goods out from the Fair only with a permission for exhibit removal, issued when all outstanding debts towards the Fair have been settled.
The exhibitor is required to remove their property from the Fair exhibition area not later than 2 days after the closing of the fair event. After the deadline, the Fair retains the right to hire a forwarding agent, who will store the goods in its own warehouse at the expense of the exhibitor.
8. During the preparations and the fair event, the exhibitor is obliged to be present when the pavilion is opened and closed. The Fair bears no responsibility for possible loss or damage of exhibits or exhibitor's equipment.
The exhibitor is obliged to insure their equipment and displayed exhibits against theft, damage and other risks.
9. Should the exhibitor design and mantle their own exhibition site, works on it cannot start prior to project acknowledgement and permit given by Technical Department. Should the Exhibitor decide to decorate the exhibition area on their own, they shall install floor coverings and partitions in accordance with the size of the exhibition area rented by the Fair.
The exhibitor is obliged to submit the sketch to Technical Department not later than 10 days before the opening of the fair event.
Stand construction works can start 5 days prior to the opening of the exhibition in the indoor exhibition area and 10 days prior to the opening of the exhibition in the outdoor exhibition area. With special permission granted by the Fair, construction works can start earlier.
The exhibitor is obliged to completely finish the stand construction works 24 hours before the opening of the exhibition and to take away all the packaging and other material which is not planned to be exhibited.
10. In case the exhibitor wants to do plumbing works in the exhibition area, they are obliged to ask Technical Department to do the inspection of the installation and the connections to the mains.
All connections and installations to power supply can only be done by Technical Department. Direct connection to water or electricity mains shall be done by Technical Department in accordance with the technical possibilities.
11. The exhibitor shall reimburse the Fair for all the damage caused by the exhibitor's workers or third parties that work at the exhibition area under the exhibitor's orders. The damage shall be assessed by the committee formed by the Fair.
12. In case of dispute, the parties accept the real jurisdiction of the court in Novi Sad.
